How to plan a surprise birthday party at home
Updated 2 October 2026 · Pune
To plan a surprise birthday at home, book the decoration slot for a window when the person will definitely be out, arrange guests to arrive after the decorator leaves, and keep one room dark for the reveal. Booking two days ahead is enough; same-day slots close three hours before they start.
How far ahead to book
Two days is comfortable for any setup in the catalogue. A day ahead is fine for most. Same-day is possible — slots stay open until three hours before they start — but the choice of setups narrows, because the decorator and the materials both have to be free.
Which slot to pick
- 9–11 am or 11 am–1 pm: best for an evening party, the room is ready all day
- 1–3 pm or 3–5 pm: the easiest windows to get someone out of the house on a weekday
- 5–7 pm: tight for a 8 pm party, but works if the house is empty
- 7–9 pm or 9–11 pm: for a midnight surprise, or when the person gets home late
The midnight birthday, which is its own problem
For a 12 am reveal, book the 9–11 pm slot and keep the person out of one room. Setting up after they are asleep does not work — balloon work is not quiet. The usual sequence is: decorate the hall at 9 pm with the person in the bedroom, then bring them out at midnight.
Keeping it secret when you live together
- Use one room and keep the door shut until the reveal
- Have the decorator call you, not the household number
- Take delivery of the cake yourself rather than having it arrive at the door
- Do not decorate the entrance — it is the first thing they will see
- Clear the wall the morning of, which looks like ordinary tidying
What tends to go wrong
- The person comes home early: keep the setup in a room with a door
- Guests arrive during the setup: give them a time 30 minutes after the slot ends
- Nobody cleared the wall: the decorator loses 15 minutes moving your sofa
- The cake table was not decided: the backdrop ends up centred on the wrong spot
- The reveal happened under a tube light: turn the main lights off
Afterwards
The setup is yours to keep and take down whenever you like. Air-filled balloons hold their shape indoors for a day or two. Removal is not included; the fixings are removable tape and hooks, so it comes off a painted wall without marks.
Step by step
-
1. Fix the window the house will be empty
Everything else depends on this. Find a 2-hour block when the person will reliably be out — at work, out with a friend who is in on it, or running an errand you created. Weekday afternoons are the easiest to arrange.
-
2. Book the decoration for that slot
Pick the setup, choose the date and that 2-hour slot, and send the booking request. Two days ahead is comfortable; a same-day slot has to be booked at least three hours before it starts.
-
3. Mark it as a surprise
Write it in the booking note along with the number to call. The confirmation call and the decorator's arrival call then go only to you, not to the person being surprised.
-
4. Clear the wall before the slot
Move furniture off about two metres of the chosen wall and decide where the cake table goes. The decorator arrives to a clear space and finishes faster.
-
5. Stage the guests
Ask guests to arrive 20 to 30 minutes after the decoration slot ends, not during it. Give them a different door or a neighbour's flat to wait in if the arrival is visible from the street.
-
6. Set up the reveal
Main lights off, fairy lights and candles on, cake on the table, everyone out of sight of the entrance. The room does the work; nobody needs to shout.
